Privacy Policy

Scribe (“we”) provides a documentation service for licensed clinicians. This policy explains what we collect, how long we keep it, and how to delete it.

What we collect

• Account data: your email, name, discipline, practice setting, state, and billing status.
• Session recordings: audio you record in the app, used only to produce a transcript.
• Transcripts and notes: text derived from your recordings and your edits.
• Client presets: initials, an optional nickname, and birth year you choose to enter. We ask you not to enter full names.
• Usage data: event names and counts (for example, “note generated”) with no content.

Retention

• Audio is deleted immediately after a note is generated, and in every case within 24 hours.
• Transcripts are deleted 30 days after creation.
• Notes persist until you delete them. Deleting a client, session, or note removes everything attached to it.
• Account deletion removes all of your data within 24 hours of your request.

How we process data

Recordings are transcribed and notes are drafted by AI providers under contract. Paid plans are processed only by providers that have signed a Business Associate Agreement with us. The free plan may use a transcription provider that has not signed a BAA; do not use the free plan for sessions that require one. Nothing from your recordings, transcripts, notes, or client presets is ever sent to analytics, error tracking, email, or SMS.

Security

Data is encrypted in transit and at rest, access is enforced per user at the database level, and every note view, export, insertion, and deletion is logged.

Your choices

You can export or delete any note, client, or session at any time from the app, and delete your entire account from Settings. Email privacy@drivewaynotes.com with questions.
